Description
This report allows users in a role such as Finance Manager to export payroll data out of PASS in bulk and import it straight into their Sage50 Payroll application.
The data for this report is refreshed every 2 hours on a fixed daily schedule 8am - 6pm.
Benefits of the report
Using this report means there will be no need to manually populate or edit the upload file saving time spent preparing for each payroll run.
How to start using this report
To start using the Sage 50 Payroll report you need to make some updates to your office. To do this follow the steps below:
Go to Roster settings
Scroll down the page until you see 'Sage 50 Payroll'
Selecting the pencil to populate the information in the table.
In the column marked Payment reference code enter in the unique reference code that your office uses in the sage instance.
Under 'Sage description' add in a description that helps you recognise the code.
Select save and PASS will take care of the rest!
How to find the report
The report sits in the reporting section of PASS under 'finance' and is named as “Sage 50 Payroll export”
Using the report
You can filter the report by:
Office Name (If you are a user that has access to multiple offices)
Employee First Name or Surname
Employee Reference (Payroll ID)
Payment Reference
Date (From and To)
What the report shows:
Employee Payment Hours and rates:
This table contains a row for every active employee / Pay component combination where that employee received pay during the selected date period.
Mapping Key:
This table shows what each payment reference code relates to, allowing you to check what each Payment reference code relates to.
Details Table
This table shows a breakdown of all the individual visits separated out by
Office
Employee
Employee reference
Care type
Customer
It shows the split of pay for each visits, and can be used to analyse the detail behind the summarised figures in the Employee Payment Hours and rates table.
Exporting the report
The table that needs to be downloaded for upload to Sage 50 is the Employee Payment Hours and rates table. This csv file format matches with the template file provided by Sage.
To download the data, click on the 3 small dots on the top right of the report.
Select 'Download'

When the table is downloaded and opened up in excel it shows the below data:
Employees reference
Payment reference code
Hours (this will always will be 1)
Rate column: the total sum of the rate they have received for that pay reference code
This table is formatted so it can be directly uploaded into sage.
